Privacy Policy

This Privacy Policy (the “Policy”) explains what data kaivix.com (the “Site”) collects, why it is processed, who it is shared with, how long it is retained, and what rights Site visitors have.
The Site is operated by the Kaivix team (“we”, “us”). Our corporate entity is currently in the process of registration; until it is completed, the Kaivix team acts as the data controller, and you can reach us on any data matter at privacy@kaivix.com. Once the entity is registered, its details will be added to this Policy.
By submitting any form on the Site, you confirm that you have read this Policy and consent to the processing of the data you provide under the terms described here.
01Data we collect
Form data — only what you provide yourself:
- your name;
- a contact channel: email, phone, or messenger;
- your company name or website address (if provided);
- a description of your task or project and answers to the form's follow-up questions: project type, approximate budget, priority services, target region, links to a brief, materials, or documentation;
- your preferred date, time, timezone, and call platform (if you request a call);
- a free-form comment.
Technical data collected automatically: your IP address (used to protect our forms from automated submissions and abuse) and standard hosting server logs — request time, requested page, and browser user-agent.
Anonymous traffic statistics collected by Vercel Web Analytics: the page address and query parameters, the referrer, country and region, device type, operating system, and browser. No cookies are involved: visitors are distinguished by a hash derived from the request and discarded after 24 hours, and the IP address is not stored. The data reaches us only in aggregate and cannot identify you or follow you between sites.
We do not ask for, and ask you not to submit through the Site's forms, special categories of data (health, political opinions, religious beliefs, etc.), payment details, or identity document data.
02Purposes of processing
We process data solely to:
- respond to your inquiry and contact you through the channel you provided;
- prepare a proposal, assessment, forecast, or teardown you requested;
- arrange the date and time of a call, if you requested one;
- protect the Site's forms from spam and automated submissions;
- operate and secure the Site.
We do not use form data for marketing emails without your separate consent, do not sell data, and do not share it with third parties for marketing purposes.
03Legal bases
Form data is processed on the basis of your consent, expressed by submitting the form. You may withdraw consent at any time (see “Your rights”); withdrawal does not affect the lawfulness of processing carried out before the withdrawal.
Technical data (IP address, server logs) is processed on the basis of our legitimate interest in operating, protecting, and maintaining the Site, limited to what is strictly necessary for those purposes.
Anonymous traffic statistics are processed on the basis of our legitimate interest in understanding which material on the Site is useful to readers. They contain no personal data: the visitor identifier lasts a day and links you to nothing across sites, and no consent is required because nothing is stored on your device.
04Who we share data with
To run the Site and handle inquiries, we use the following services, which act as processors and handle data only to the extent needed to provide their service:
- Vercel Inc. (USA) — Site hosting and request processing; server logs are stored in Vercel's infrastructure. The same provider supplies Vercel Web Analytics, our anonymous traffic statistics;
- Telegram — delivery of inquiry contents to the Kaivix team's internal workspace chat;
- the kaivix.com email provider — when corresponding with you by email.
The servers of these services may be located outside your country of residence; by submitting a form, you consent to such cross-border transfer. We may disclose data to other third parties only where required by applicable law (for example, a lawful request from a competent authority).
05Retention
Inquiry data is kept for no longer than 3 years from our last contact with you, or until we receive your deletion request — whichever comes first. After that, the data is deleted.
Hosting server logs are retained for a limited period defined by the hosting provider's settings (typically no more than 30 days) and are deleted automatically.
06Cookies
The Site uses a single functional cookie — NEXT_LOCALE. It remembers your chosen interface language (English or Russian), is not used for tracking, and is not shared with third parties.
The Site uses no advertising cookies, and our analytics works without them either. Vercel Web Analytics writes nothing to your browser: no cookie, no local storage. That is why the Site shows no cookie consent dialogue — there is nothing to consent to.
If we ever add analytics that relies on a cookie or any other identifier stored on your device, this Policy will be updated before it is enabled, and the Site will ask for your consent.
07Your rights
With respect to your data, you have the right to:
- request confirmation of processing and a copy of your data;
- have inaccurate or outdated data corrected;
- have your data deleted;
- withdraw your consent to processing;
- if you are in the EU/EEA or UK — object to or restrict processing, and lodge a complaint with your supervisory authority.
To exercise any of these rights, write to privacy@kaivix.com — preferably from the address or contact you provided in the form, so we can verify the request comes from you. We respond to such requests within 30 days of receipt.
08Security
Connections to the Site are protected with HTTPS. Only the Kaivix team has access to inquiry contents. We apply reasonable organizational and technical safeguards, but no method of transmitting or storing data on the internet can guarantee absolute security.
09Google user data
Besides the Site, we run an internal tool that connects to the Google Ads API. Only KAIVIX staff use it, only with our own Google Ads account, and only to plan articles for the Site. This section explains how it handles Google user data.
- What we access: the list of Google Ads accounts available to the KAIVIX employee who authorised the tool, and keyword ideas with historical search volume for the locations and languages we query. The tool does not read campaigns, ads or billing data, and never accesses other advertisers' accounts.
- How we use it: only to choose topics and wording for articles on the Site. We do not use Google user data for advertising, profiling, or credit and lending decisions, and we do not use it to train artificial intelligence models.
- Who we share it with: we do not sell Google user data or transfer it to third parties for their own purposes. It is processed only by services that work for us in our editorial process, such as AI writing assistants, under terms that prohibit training models on it.
- How we protect it: access tokens are stored on our own server in files readable only by the account that runs the tool, and every connection to Google uses encrypted HTTPS.
- Retention and deletion: keyword data is kept for no longer than 12 months and then deleted. The user who authorised the tool can revoke its access at any time at https://myaccount.google.com/permissions, after which we delete the stored token. To request earlier deletion, write to privacy@kaivix.com.
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.
10Age restrictions
The Site is intended for a business audience. We do not knowingly collect data from anyone under 18. If you become aware that a minor has provided us with their data, please let us know at privacy@kaivix.com and we will delete it.
11Changes to this Policy
We may update this Policy. The current version is always published on this page with the date of the last update. Material changes — such as adding analytics, changing our processors, or adding the details of the registered data controller — will be reflected in the text of the Policy.
